Read what you were sent

Open a ZUGFeRD or Factur-X hybrid PDF, or an XRechnung, Peppol or NLCIUS XML, from Files or the share sheet. See who is billing you, how the VAT was handled and when it is due. The same check runs on their invoice: totals that do not add up, a sender without a VAT ID, an IBAN that fails its own check digits.

Counthall compares a supplier’s IBAN with earlier invoices you filed. A change is a reason to confirm the bank details through a separate channel; it does not establish whether an invoice is genuine or safe to pay.

When an invoice number you filed before turns up again from that supplier, Counthall says when you filed it and whether the total has changed since.

When their invoice is the one that breaks, a message back to the sender is ready, naming the rule and the field, for your own mail app to send.

Check before you send

The compliance check tests fields and totals against the supported EN 16931 and format rules. A missing buyer reference, an incomplete address or a reverse-charge VAT ID appears with the rule and the field to correct. A clear check is not a guarantee of acceptance by a recipient or portal.

Findings distinguish the invoice particulars the VAT rules require from routing details, so a missing buyer reference does not read as urgently as a missing VAT ID. Counthall does not determine your tax treatment.

Export the format they ask for

ZUGFeRD and Factur-X combine a readable PDF with structured invoice data. XRechnung is available in UBL and CII; Peppol BIS Billing 3.0 is also supported. Set the requested format per client. Counthall exports files; network delivery uses your own provider. NLCIUS is exported too: enter the Dutch client's KvK or OIN number and buyer reference with the client.

For French clients there is Factur-X France: the hybrid PDF with the additions of the French e-invoicing reform, such as your SIREN, the invoicing frame (services, goods or both) and the required payment notes. An invoice in another currency also states its VAT in euro, and with a Swiss or Liechtenstein account the PDF carries a Swiss QR-bill.

Underneath is a client invoice that shows the VAT the way your scheme needs it: reverse charge, KOR or Kleinunternehmer, with sequential numbering and your IBAN.

The lines come from your hours: one tap to start, offline, with rates and surcharges that carry through to the invoice.

The urencriterium report totals your direct and indirect hours for the Dutch 1,225-hour bar and exports a PDF log. You decide which hours count for your situation.

At the end of the quarter the overview has the figures for your own VAT return ready, box by box for the Netherlands, Belgium, Germany or Austria, with revenue per month and your small-business limit beside it. It prepares the return; you file it.

And the invoice looks like yours: photograph an old invoice, a business card or your website, and Counthall lifts your logo, accent colour and trade name onto the PDF, read on your device and never uploaded.

Keep it where you can check it

Exported and received documents go into one retention archive, each linked by a hash to the one before it, with its retention date. The integrity check can identify mismatches in that chain. Keep your own backups; this is not a guarantee of legal retention or recovery.

On iOS the backup screen checks iCloud reachability and restore status. On Android, export a backup file and Counthall reads it back and compares the decoded records, archive included.

A business must keep the invoices it sends and receives for as long as the law asks. An app that deletes them when a subscription lapses leaves you without them. Counthall has no subscription to lapse: the archive stays on your device, and you can check it any time.

Questions about Counthall

Can it read an e-invoice somebody sent me?

Yes. Open a ZUGFeRD or Factur-X hybrid PDF, or XRechnung, Peppol or NLCIUS XML. Counthall shows the sender, amount, VAT treatment, due date and invoice lines. It checks supported fields and totals and can compare the IBAN with earlier invoices you filed.

Which e-invoice formats does it produce?

ZUGFeRD / Factur-X, XRechnung in UBL or CII, Peppol BIS Billing 3.0. NLCIUS is exported too: enter the Dutch client's KvK or OIN number and buyer reference with the client. Choose the format your recipient requests and save it with that client.

Does Counthall send the invoice over Peppol for me?

No. Counthall exports a Peppol-format file. Delivery over the Peppol network uses your own access-point provider. Ask the recipient or provider how to submit the file.

Does a clear check guarantee acceptance?

No. The compliance check identifies supported field, arithmetic and format problems. It cannot establish that an invoice is genuine, that the underlying transaction is correct, or that a recipient will accept it.

What does the retention archive check?

It stores exported and filed documents with retention dates and hash links. Its integrity check detects mismatches against those stored links. It does not guarantee legal retention, prevent every alteration or replace a backup.

What is free, and what does the unlock cost?

How do backups work on each platform?

On iOS, records sync through your own iCloud account and the backup screen checks reachability and restore status. On Android, export a backup file; Counthall reads it back and compares the decoded records, including the archive. Keep that file somewhere you can access after losing the device.

Does it work offline?

You can read invoices, log hours and create invoice files offline. iCloud sync and store purchases require a connection. You decide where to share exported documents.

How Counthall is made

We develop our apps with AI tools for programming and translation. We use automated checks and device tests. We are responsible for the result, and a person answers support requests.

AI and data processing in this app

Counthall reads text on the device itself: a logo or trade name off a photo, the amounts on a receipt, and the invoice lines you photograph or dictate. What it reads is a suggestion you check; on Android, dictation uses your phone's own speech service, asked to work offline. The small illustrations on empty screens were made in advance with an image model. Your invoices are built by you from your own figures; nothing in them is generated, and nothing leaves the device except, for a seller in Spain, the billing record the law requires to go to the Spanish tax office (VERI*FACTU).
